ATS Friendly Resume Format: Best Practices for Layout, Sections, and Templates

If your resume looks strong but still gets no replies, the problem may not be your experience. A lot of the time, it comes down to formatting, and yeah, that happens often. An ATS-friendly resume is made so software can read it quickly and recruiters can scan it without much effort. That matters a lot right now. Jobscan reports that 97.8% of Fortune 500 companies used an applicant tracking system in 2025.

That doesn’t mean you need to trick the system. That’s not the point. What helps is smart resume formatting. A good ATS resume uses a clean layout, standard section titles like Experience and Skills, and job-specific keywords that still sound natural. It should be easy for a machine to read, but it also needs to feel clear and reliable to a person reading it, and that matters just as much.

This guide covers the best resume formatting rules for ATS screening, the sections to include, and the templates that are usually the safest option. It also points out mistakes that can quietly stop your application, and those are often easy to miss. You’ll also find how AI-assisted workflows can help you tailor faster when you’re applying to lots of roles. For a practical next step, it goes well with learning how to tailor a resume for a job description.

Why ATS-friendly resume formatting matters so much

A lot of job seekers still think ATS advice is mostly hype, and honestly, some of it is. Some of the numbers repeated online are shaky or get shared without much proof. But the bigger point is still true: companies use software to organize, search, and rank applicants. That means resume formatting affects whether your content is read properly and whether the right details show up where recruiters usually look first.

ATS Resume Metric	Value	Why It Matters
Fortune 500 companies using ATS	97.8%	Most large employers screen applications with ATS systems
Recommended body font size	10-12 pt	Improves readability for both ATS and recruiters
Recommended heading size	14-16 pt	Creates clear section structure without overdesign

The table shows something simple but important: safe formatting usually works best. Pretty clear. MIT Career Advising & Professional Development says, “Avoid use of graphics, icons, or images.”

That fits what recruiters deal with every day. Fancy visuals may look modern, but they often cause parsing issues. A resume with columns, text boxes, logos, or chart graphics can confuse ATS systems and mix up information, which happens more often than people expect. And even if the software reads it properly, recruiters may still prefer a clean document that is easy to scan quickly, especially in an initial review.

The goal is not to make a resume plain just for the sake of it. It is to make it readable, searchable, and more trustworthy. In most cases, that means using a simple layout so job titles, dates, and skills are easy for both software and people to find.

The best ATS friendly resume layout

The safest layout is usually the simplest: one column, left aligned, with clear section breaks. Short and clear likely help more than people realize, and career centers, recruiters, and ATS experts generally point to this as the most dependable resume formatting choice.

It also works well for recent graduates, career changers, and mid-career professionals, because the focus stays on the content itself. Jobscan puts it very directly: “Use a clean, single-column format. Avoid multi-column layouts, tables, and text boxes, as the ATS can scramble the information,” so yes, keeping it plain is often the better choice.

So this is the layout most people should use:

Basic ATS friendly resume layout rules

• Use one column from top to bottom. It’s simple, and it usually works best.
• Keep the text left-aligned from start to finish.
• Standard margins are usually the safest option, around 0.5 to 1 inch.
• Pick a common font like Arial, Calibri, Georgia, Helvetica, or Times New Roman.
• Body text should usually stay in the 10 to 12 point range, so there’s no need to do anything fancy.
• Section headings can usually be around 14 to 16 points, which is often the safest range.
• Use black text on a white background.
• Stick with regular bullet points instead of symbols or icons.

Where ATS friendly resume designs go wrong

One common mistake is picking a template that looks polished but hides important details in sidebars, headers, or graphic elements, where they’re honestly easy to miss. Another problem is putting contact information in the page header or footer, since some ATS tools may skip that content.

Not sure if the design is too complex? It probably is. For online applications, a clean layout often works better than a creative one, especially when ATS tools are involved. Keeping it simple is usually the safer choice.

How to Create an ATS-Friendly Resume for Today’s Job Market

Which resume sections help ATS and recruiters most

An ATS-friendly resume should be easy to read, and that is usually a big part of it. It also needs the right sections in the right order, likely near the top so they’re easy to scan. Standard headings help both software and recruiters understand a candidate’s background quickly, which matters here.

The most reliable section names are:

Contact information

At the top of the document, include your name, phone number, work email, city and state, and LinkedIn if it fits. Keep this in the main body, not the header, since that’s where people usually look first.

Professional summary

This is a short intro in 2 to 4 lines that should fit the target role. Mention your years of experience, your main skills, and the value you bring. Keep it clear. If you’re changing careers, this can connect your past work to your new goal, which often helps.

Work experience

Use reverse chronological order. Include your job title, company, location, and dates. Under each role, add bullet points that show what you did and the results, since that usually helps. Numbers can make it stronger too; for example, “Reduced reporting time by 30%” often sounds better than “Handled reports.”

Skills

Add a focused list of tools, hard skills, and role-specific abilities, the practical stuff. Keep it relevant, I’d say, and skip the long keyword dump because it’s hard to read. For more examples, see this guide on building a strong skills section for a resume.

Education

Include degree, school, recent graduation year, and, if helpful, honors too.

Extra sections when relevant

Certifications, projects, volunteer work, and technical tools can help when they really match the job someone is going for, and that usually matters most. They’re often especially useful for recent grads. They can also help people changing careers, which is honestly pretty common.

For a better match between sections and job ads, that’s covered here: tailoring a resume for a job description.

How to use keywords without sounding robotic

Using keywords well is a big part of building a strong resume for ATS. But stuffing in too many keywords is old news, and honestly, it often makes a resume sound awkward. These days, better matches usually happen when the right terms appear in the right context.

University of Illinois Chicago Career Services puts it simply: “Use keywords and phrases in context. Incorporate them into descriptive achievement-oriented bullet points; do not just include them as a list of skills or competencies.”

So if a job description asks for project management, stakeholder communication, and budget tracking, the resume should show where those skills were actually used in earlier roles. A basic list is much less effective. For example:

• Managed cross-functional projects for 12 client accounts, which improved on-time delivery by 18%
• Coordinated stakeholder updates across sales, design, and operations teams
• Tracked quarterly budgets, and this helped cut vendor costs by 10%
• Added clear examples instead of listing skills on their own

That helps ATS systems match the right terms, which is the goal. It also gives recruiters real evidence. That is usually much stronger than listing ‘project management, communication, budgeting’ with no examples.

Here’s a real-world example: a marketing coordinator applying for a content role may already have SEO, analytics, campaign planning, and copywriting skills. But if those words do not appear clearly in the summary, skills section, and bullet points, the ATS may not rank the resume as highly. In most cases, it helps to include those keywords in all three places so the experience is easier to find.

Template mistakes that can quietly hurt your application

Not all templates are safe, and honestly, a lot of popular ones are built for looks, not performance. So even a design that looks great can still lead to poor results, which is frustrating. The biggest template mistakes usually include:

Two-column designs

These are pretty common in visual resume builders (you’ve probably seen them). I think they can make the reading order feel confusing and separate related information.

Tables and text boxes

These can seem like an easy way to organize content, and they often are. But ATS tools sometimes read them in the wrong order or even miss parts entirely, which is often frustrating.

Icons and graphics

Phone, email, and skills icons could look nice, I think. But plain text is likely safer for you, and simpler too.

Image-based PDFs

If your resume is saved as a scan or image, the ATS will probably have trouble reading it clearly, which happens pretty often. That can cause problems for you.

Over-styled headings

Creative titles like ‘My Journey’ instead of ‘Work Experience’ can make matching harder, and that’s frustrating.

There’s also a mindset issue here about chasing myths. A common claim says most resumes get rejected right away by bots before any person sees them. But some experts don’t think the story is that simple. HR consultant Christine Assaf pushed back on that popular idea and said, “It’s not real.”

So the more useful takeaway is pretty simple: don’t panic, and stick with clean resume formatting. It should stay easy to read and easy to search for both recruiters and systems. That usually makes it seem more trustworthy too.

Choosing the right file type and workflow for an ATS-friendly resume

For most online applications, DOCX is usually the safest file type unless the employer asks for something else. A text-based PDF is often fine too, but scanned PDFs can cause parsing problems, which is frustrating. When someone is applying to a lot of roles, consistency can make a real difference. Keeping one strong master version and then making tailored copies for each job helps keep details clear and makes updates much easier.

This is also where AI-assisted workflows can help. Instead of rewriting everything from scratch every time, many job seekers now use tools that compare job descriptions, point out missing keywords, and help update summaries and bullet points more quickly. In most cases, that means less repetitive editing and fewer details getting missed. Platforms like CV generators support this kind of workflow and help tailor content without hurting ATS compatibility. Pretty useful, I think.

A smart process often looks like this:

1. Start with a clean ATS friendly resume template
2. Review the target job description and note what matters most
3. Adjust the summary and top bullet points
4. Trim the skills section and keep only relevant achievements
5. Save in the requested format, then check the final spacing

This matters even more for people changing careers or applying to a high volume of jobs. If they can tailor faster without breaking the formatting, applications usually stay more consistent and less cluttered. That helps them send stronger applications more often.

Put your ATS friendly resume into a format that gets read

A strong ATS-friendly resume is not really about tricks. Most of the time, it comes down to clarity. Use a single-column layout, standard section headings, common fonts, and simple spacing without anything overly fancy. Keep your contact info in the main body instead of placing it in the header. Bullet points should show results, and keywords from the job description should fit in naturally. It also helps to avoid tables, text boxes, graphics, and other design choices that can break parsing, because those features often cause more problems than people expect.

If there is one thing worth remembering, it is this: the resume needs to work for software and for people. That is really what modern resume formatting means. Usually, the best resume for ATS is also the one a recruiter can skim quickly, follow easily, and trust. That is likely the simplest way to think about it.

Before sending your next application, review the template and remove decorative elements. Tailor the content to the role. Small updates in format and wording can often help more than a full rewrite. Keep it clean, keep it relevant, and apply with confidence.
