How We Tested Calilio?

We signed up for Calilio on June 12, 2026, purchased one US local number and one UK mobile number, and used it for 13 days across the web app and an iPhone. During that period we:

  • Placed 45 outbound calls and received 38 inbound calls on a mix of 100 Mbps fiber Wi-Fi and 5G mobile data connections.
  • Tested the AI call report on 15 real calls and compared the summaries, action items, and sentiment analysis against what was actually said.
  • Set up IVR and Business Hours, running 12 different test scenarios through it
  • Sent 60 SMS and attempted 15 MMS / international SMS to check what actually works vs. what’s advertised.
  • Recorded a setup time of just 6 minutes from signup to first call, an average call-connection time of 1.8 seconds, and tracked any dropped calls or audio issues (noting 0 dropped calls and 2 minor latency lags on mobile data).”

In plain terms: it replaces a traditional office phone system with software you run from a browser or your phone, and it layers AI on top so that after each call you get a summary, transcription, and sentiment read instead of having to re-listen to recordings.

It’s aimed at small businesses, sales and support teams, call centres, and remote teams that want professional business calling, with modern AI features, without enterprise pricing or hardware.

Who Calilio Is (and Isn’t) For?

Calilio is a good fit if you are a:

Calilio Features (What We Actually Used)

Calilio’s value is in combining cloud calling, SMS, virtual numbers, call management, analytics, and AI into one workspace. Here’s the features that stand out and how we tested each of the features.

Virtual phone numbers

On our use, we found Calilio’s virtual phone numbers useful for keeping business calls separate from personal ones. The setup was easy, and the dashboard let us choose numbers from over 100 countries. We could pick local, mobile, or toll-free numbers based on our business needs, such as building trust with local customers or running marketing campaigns.

However, not every number offers the same features. Our US toll-free and Canadian local numbers worked well for both incoming and outgoing calls. But some international local and toll-free numbers only support voice calls. While many mobile numbers also supported text messages, features like MMS were not available.

VoIP calling from web and mobile

In our test, we evaluated Calilio’s VoIP calling performance by splitting our time between the web interface on our desktops and the mobile app on our smartphones. The initial connection speed was impressive; outbound calls consistently connected in an average of 1.8 seconds, with virtually no delay or dead air before the first ring.

Audio clarity was excellent on both ends of the line. Calilio delivers true HD voice, meaning conversations sounded natural rather than compressed or robotic. When we used the web app over our office’s 100 Mbps fiber connection, the performance was stable. We didn’t encounter any jitter, audio clipping, or dropped calls.

Moving over to the mobile app on cellular data gave us a better look at how the platform handles real-world environments. Even when switching between Wi-Fi and 5G, the audio remained clear. We did note two brief instances of latency lag on mobile data where the audio slowed down for a second, but the connection stabilized itself quickly without dropping the call. For a system that lacks unlimited calling, the actual call quality is highly reliable and handles everyday business communication smoothly across different devices.

Business SMS

Calilio let the users manage text messages and voice calls from the same workspace, which made our communication much easier. It was especially helpful for sending quick follow-ups and client reminders.

However, we found that SMS support varies depending on the phone number and country. We almost purchased a UK local number before realizing it didn’t support SMS.

When selecting a phone number, look for the small icons indicating Calls, SMS, and MMS in the purchase section. Always check these capabilities before completing your purchase.

If you want to be absolutely certain, contact the live support team and confirm that the specific phone number you’re planning to buy supports SMS before placing your order.

Call routing, Business Hours & IVR

We found Calilio’s IVR system easy to set up and use and acted like a proper inbound business phone system. Creating a phone menu from the dashboard didn’t take long, and we used the text-to-speech feature to record a simple greeting. We also tested different call routing situations, including busy hours and after-hours calls.

In our testing, calls were routed to the right team based on the caller’s keypad selection, such as sales or support, without any noticeable delays or call drops. Even when we simulated a high number of incoming calls, the system handled them well by sending them to voicemail when no one was available. One thing to note is that the IVR feature is only available on Calilio’s Premium plan. That could be a downside for smaller teams looking for basic call routing without paying for a higher-tier plan.

AI call reports

The AI call report feature ended up being one of the most useful parts of the platform. Instead of replaying long call recordings to find important details, we could open the dashboard and quickly see a transcript, summary, reason for the call, conclusion, and overall customer sentiment. It made reviewing conversations much faster.

To see how accurate it was, we tried it with 15 different real-world call scenarios. In one test involving a customer calling about an overcharged invoice, the AI correctly identified the reason for the call as a billing issue, summarized the outcome as a request to process a credit memo, and recognized that the customer started the conversation with a negative sentiment because they were frustrated.

The feature isn’t flawless. The summaries and key takeaways were consistently accurate, but the transcripts sometimes contained small mistakes, especially when the speaker had a strong accent or used industry-specific terms. Even so, those errors were minor and didn’t affect the overall usefulness of the reports. For everyday use, the AI saved a lot of time by reducing the amount of manual note-taking needed after each call.

Live call monitoring (listen, whisper & barge)

Calilio’s live call monitoring tools worked well during testing and gave supervisors (users with admin access) everything they would typically need to manage calls in real time. The platform includes silent call monitoring, a whisper mode that lets managers coach agents without the customer hearing, and a barge feature that allows a supervisor to join the conversation when needed.

We tried all three features from the supervisor dashboard, and switching between the different modes was seamless. There were no noticeable sounds, interruptions, or changes in call quality that would alert the customer that someone else was monitoring or joining the call. This made the tools useful for coaching agents and handling situations that required immediate support.

One thing to keep in mind is that these features are not available on the Standard plan. If your team needs live monitoring, whisper coaching, or call barging, you’ll have to upgrade to the Premium plan. That makes the tools more expensive than they first appear, especially for larger teams.

Power dialer and Call disposition

Calilio’s Power Dialer made outbound calling much more efficient by removing a lot of the repetitive work. After uploading a contact list, the system automatically dialed each number one after another. As soon as a call ended or a number couldn’t be reached, it moved to the next contact without needing any manual input. This kept the calling process moving and reduced downtime between calls.

We also liked the option to set a post-call buffer. It gave us enough time to add a call disposition, such as Interested, No Answer, or Follow-up Required, before the next call started automatically. Being able to update these statuses from the same screen made it easier to keep records organized without spending extra time on admin work after each call.

The main limitation is that some of the more advanced outbound features aren’t included in the lower-tier plans.

Integrations

When we looked at Calilio’s integrations, it became clear that this is one of the areas where the platform still feels a bit limited. Although some third-party sources suggest support for popular tools like HubSpot, Salesforce, Zoho, and Slack, the actual options available in the dashboard are more restricted. At the time of testing, the native integrations were mainly limited to tools like Pipedrive CRM, and Pabbly Connect, along with a Chrome click-to-call extension. Access to these integrations is also tied to the Premium plan, which costs $35 per user per month.

For teams that already rely on major CRMs like HubSpot or Salesforce, this could create some friction. Those direct integrations are not fully available yet and are still marked as coming soon, which means there isn’t a straightforward plug-and-play setup for those systems.

Analytics & dashboards

The interface for Calilio’s analytics and dashboard looks clean and intuitive. It displays real-time data through simple charts, showing things like daily call volume, hourly call trends, and the busiest times of the day. It gave us a clear overview of when call traffic was highest without having to dig through reports.

We also found the agent performance tracking useful. It shows how many calls each agent answered, made, or missed, making it easier to spot missed follow-ups and monitor individual performance. The information is presented clearly, so managers can quickly understand what’s happening without spending much time navigating the dashboard.

One thing to be aware of is that reporting features vary depending on the plan. The Standard plan includes basic real-time analytics, which are enough for monitoring day-to-day activity. However, if you need more detailed historical reports, advanced call center metrics, or insights across multiple agents, you’ll need to upgrade to the Premium plan.

Setup & User Experience

Getting started with Calilio was quick and straightforward. We were able to sign up and make our first outbound call within a few minutes. It’s also worth noting that new accounts come with a free wallet credit of $1 across all plans. Depending on the plan you choose, you get bundled calling and SMS packages that cover up to 1,500 calling minutes and up to 1,000 SMS segments, so you may still need to add funds if you plan to run more extensive testing or higher-volume usage.

The web and mobile apps are designed for different types of users. We found the web app better suited for managers who need to review call logs, analytics, and AI-generated reports, while the mobile app works well for remote employees or anyone who needs to answer business calls while away from their desk.

One feature we appreciated was the unified workspace. Calls, SMS conversations, voicemails, recordings, and team notes are all stored in one place, making it much easier to keep track of customer interactions. Being able to switch between messages and calls without opening different tools helped keep workflows organized.

The main drawback was the prepaid wallet system. Since outbound calling relies on a funded balance, someone on the team needs to keep an eye on the account and top it up when necessary. It’s not a major issue, but it does add an extra administrative task, especially for teams that make frequent international calls. That said, there is an auto-recharge feature available, which can automatically top up a fixed amount to the wallet whenever the balance drops below a set threshold, helping reduce the need for manual monitoring.
